The People Management Association of the Philippines (PMAP) is committed to protecting all personal information, including any sensitive personal information you provide, in compliance with Republic Act No. 10173, otherwise known as the Data Privacy Act (DPA) of 2012, and its implementing rules and regulations. This Privacy Notice covers our website, emails, and other online platforms associated with this Notice. It explains how we collect, use, and protect your personal data when you interact with us and utilize our services online.

1. How and what we collect

PMAP collect personal information that you provide when using our online platforms, including your name, address, contact number, email address, username, and password (“Account Information”).

PMAP also collect company-related information, which may include your employer’s name, address, telephone or fax number, website address, SEC registration number, paid-up capitalization, gross revenue, total workforce size, list of officers and members of the board of directors or trustees, and whether the company is unionized (“Company Information”).

If applicable and necessary, PMAP may also collect personal information relating to your authorized representatives, such as their full names, birth years, email addresses, and mobile numbers (“Representative Information”). In addition, PMAP may collect transaction-related details, including order purchase and any notes or special instructions provided (“Order Information”).

Furthermore, PMAP may collect any additional information that you voluntarily submit through forms, surveys, or registration pages. PMAP may likewise collect non-personal information through cookies and analytics tools, including browser type, pages visited, and time spent on the site.

2. How we use your information

PMAP may process and use your personal information only to the extent necessary to fulfill the purposes for which it was collected or processed. PMAP may also process and use your personal information for any or all of the following purposes:

  1. Validation of Information: To verify, analyze, and cross-check information received by PMAP from one or more lawful sources, as applicable, to ensure the completeness, accuracy, and integrity of the data and to support compliance with applicable laws, regulations, and rules. This may include the voluntary provision of personal information requested by PMAP for legitimate and authorized purposes;
  2. Operations: To process and administer the registration for PMAP events, training programs, and other activities, as well as to maintain, update, and manage PMAP’s membership database and related records;
  3. Promotions and Information Dissemination: To provide information and promotional materials regarding upcoming events, training programs, membership activities, products, and services offered by PMAP. This may also include the dissemination of relevant government circulars, advisories, and other information relating to people management and human resource practices;
  4. Other Purposes: To provide and improve our services, respond to your inquiries, requests, complaints, and feedback, and address other matters relating to PMAP and its activities. PMAP may communicate with you through email and other communication channels that you have provided or otherwise agreed to use. PMAP may also process your information for data analytics, service improvement, and other purposes that are necessary, authorized, or otherwise permitted under applicable laws and regulations.

3. With whom we share

PMAP will treat these data confidentially and use it for appropriate professional purposes only. PMAP shall not share your personal information with any third party intending to use the same for direct marketing purposes, unless you have provided specific explicit consent in relation to this.

You agree that PMAP may share your personal information with the following third parties (whether located in the country or abroad) for other purposes:

    1. PMAP Event Sponsors for legitimate business purposes;
    2. service providers, agents or contractors in coordination with PMAP. PMAP shall endeavor to cause such third parties to comply with the relevant Data Privacy Laws in the course of its engagement with PMAP and require such company to use and protect your personal information consistent with this document; or
    3. others, either in compliance with law, when required by a government entity or regulator, or in the event of transfer of business of PMAP. PMAP may likewise disclose aggregate or anonymized data derived from personal information (but without identifiers that will disclose your identity) to third parties in a justifiable and lawful manner

4. Your Right as a Data Subject

Under the Data Privacy Act of 2012, you have the right to the access, correct/rectify, erase, and object to the processing of your personal information. Should you wish to exercise any of such rights, including the withdrawal of your consent, or any other rights in the applicable Data Privacy Laws, you may send the request to dpo@pmap.org.ph.

5. Data Storage

PMAP stores your information in secure environments and databases, and tools, which may include local servers, which are only accessible to authorized PMAP Professional Staffs. PMAP undertakes to observe generally accepted industry standards and practices in the storage of your personal information.

6. Data Retention/Disposal

PMAP shall retain your Personal Information for a period of five (5) years for record purposes and historical analysis, and for as long as it is necessary for the above-mentioned purposes. This shall likewise take into account the need for PMAP to comply with legal requirements under applicable laws and rules.

For record keeping purposes, some or all of your Personal Information in PMAP’s possession may be retained by the IT department of PMAP.

After the period of five (5) years, or when the personal information collected from you is no longer needed/required, PMAP shall destroy, delete or dispose of the same in a secure manner as may be required by law on the matter or following generally accepted industry standards and practices.

7. Data Security

PMAP implement appropriate physical, technical, and organizational safeguards, including encryption and access controls, to protect your personal information from unauthorized access, processing, disclosure, alteration, or destruction.

While PMAP take reasonable measures to secure your information, no security system is completely impenetrable. In the event of a data breach, the organization will promptly investigate and take appropriate measures, including notifying affected individuals where required by applicable laws and regulations.

8. Cookies Policy

PMAP website may use cookies and similar tracking technologies to improve your browsing experience, analyze website usage, and support site functionality. You may manage or disable cookies through your browser settings. Please note that disabling cookies may affect certain features or functionalities of the website.

9. Changes to this Privacy Notice

PMAP may update from time to time its Legal and/or Privacy Notices. Without prejudice to your rights under applicable laws and rules, PMAP reserves its right to amend the Legal and/or Privacy Notices without prior notice to reflect technological advancements, legal and regulatory changes and good business practices. In the event there will be changes to PMAP’s privacy practice, an updated version of the Legal and/or Privacy Notices will reflect the same and you will be notified of the changes by updating the effective date at the top of the relevant page. We encourage you to periodically review PMAP’s website and these Terms and Conditions for the latest information on our privacy practices, and how this will affect the processing or use of your personal information.
